Overview

Oriyent lets you share projects with your team — whether it’s internal staff, subcontractors, or external stakeholders. You can invite users by email, assign their access level, and manage what they see and do within each project. Roles are project-specific and can be changed at any time.


What You’ll Need

  • A Creator Plan or Admin access

  • A project created in Oriyent

  • Email addresses of users you want to invite

Role

Permissions

Owner

Full control over the project. Can manage users, data, templates, and forms

Admin

Can edit forms, manage users, assign roles, and oversee data

Collaborator

Can fill out and submit forms, view maps and data

Observer

View-only access — ideal for audits or client stakeholders

Roles are assigned per project — one user can be a Collaborator on one project and an Observer on another.


How to Invite a Team Member

  1. Go to your Project Dashboard

  2. Click the Users or Team tab

  3. Click “Invite User”

  4. Enter the team member’s email

  5. Choose their role (Owner, Admin, Collaborator, or Observer)

  6. Click Send Invitation

The invited user will receive an email with a link to join the project. Once accepted, they’ll appear in your user list.


Managing Roles and Access

To change a user’s role:

  • Go to the Team or Users section of your project

  • Click the dropdown next to their name

  • Select a new role

  • Changes apply immediately

You can also remove users entirely using the Remove or Trash icon next to their name.


Troubleshooting Tips

Issue

Solution

Invite not received

Ask the user to check spam/junk folders, or resend the invite

Can’t change a user’s role

Only Owners and Admins can change roles

User has no access to forms

Ensure the user is assigned to the correct project and role

Invitation link expired

Resent the invite using the "resend" button nest to the user
