Overview

Importing your asset register is one of the first and most important steps when setting up a project in Oriyent. Your assets — whether they’re lights, signs, pumps, or buildings — need to be registered in the platform before they can be inspected, tracked on the map, or linked to QR codes.


What You’ll Need

  • A CSV or XLSX file with your asset data

  • Column headers like: Asset ID, Asset Name, Latitude, Longitude, Zone, Type, Description

  • A project already created in Oriyent

  • A Creator Plan account


Create a New Data Group

A data group is a container that holds a group of assets.

  1. Go to the Data tab

  2. Click “+ New Data Group”

  3. Name the group (e.g., Zone A – Runway Lights)

  4. Click Save

Tip: Use different groups for different areas or asset types to keep things organized.


Upload Your Asset File

  1. Click on the name of your new data group

  2. Select “Import Data”

  3. Choose your .csv or .xlsx file

  4. You can also import from OneDrive or Google Drive


Map Your Columns

Oriyent will ask you to match columns in your spreadsheet to the appropriate fields.

Complete the Import

  • Review the mappings

  • Click Import

  • Oriyent will now display your assets in the data group

  • They’re now ready to be assigned forms and shown on the map


What Happens Next?

Once your asset data is imported:

  • Each asset can be assigned one or more inspection forms

  • They will appear in Map View, with color-coded status (🔴 Not started (if no forms are assigned this will appear grey) → 🟢 Completed)

  • You can create Collections by drawing zones around assets

  • Each asset can generate a QR code for mobile field access

  • Asset progress is tracked and updated in real time


Troubleshooting Tips

File won’t upload

Check if it’s in .csv or .xlsx format and has headers

Assets not appearing on map

Make sure you mapped latitude and longitude

Duplicate entries

Check for repeated Asset IDs or remove duplicates

Data group appears empty

Refresh the page or confirm you imported into the correct group

Pro tip: Try importing a test file with 5–10 assets to check formatting before uploading your full register.


Updating Asset Data Later

  • To add new assets: Re-import a file with new rows

  • To update existing assets: Export your current list, make changes, and re-import with matching IDs

  • To delete assets: Manually remove them from the data group (linked forms will remain until unassigned)
